About the Role

An Event Assistant in a social enterprise firm plays a crucial role in supporting the planning, execution, and success of events that drive the organization's mission and impact. Here's a breakdown of their key responsibilities:

1. Work closely with the event coordinator or manager, assisting with tasks such as venue selection, budget management, vendor coordination, and creating event timelines.
2. Create and manage event materials like invitations, agendas, signage, and promotional materials.
3. Manage RSVPs and guest lists and ensure smooth registration processes.
4. Assist with setting up the event space, including tables, chairs, decorations, and audio-visual equipment, and help with the breakdown after the event.
5. Assist with managing event flow, ensuring activities run smoothly, and addressing any issues that arise.
6. Gather feedback from attendees, analyze event data, and contribute to post-event reports to identify areas for improvement.
7. Understand the social enterprise's mission and ensure that events contribute to its goals and impact.
8. Promote inclusivity and accessibility in event planning and execution, ensuring that all attendees feel welcome and comfortable.
9. Contribute to sustainable event practices, minimizing waste, promoting responsible sourcing, and incorporating eco-friendly elements.
10. Work closely with other departments, including program staff, fundraising, and marketing, to ensure events align with the overall strategic goals of the social enterprise.
11. Provide assistance to the event team, handling administrative tasks, managing event databases, and supporting other event-related activities.

Requirements

  • Education: High school diploma or equivalent. A degree in event management, hospitality, or a related field is a plus.

  • Experience: 1-2 years of experience in event planning, coordination, or related roles.

  • Technical Skills:

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

    • Experience with event management software (e.g., Eventbrite, SignUpGenius) is a plus.

    • Basic knowledge of audio-visual equipment and setup.

  • Communication Skills: Excellent written and verbal communication skills, with the ability to interact with diverse audiences.

  • Organization and Time Management: Ability to manage multiple tasks and deadlines effectively.

  • Attention to Detail: Meticulous attention to detail and the ability to ensure event logistics are flawlessly executed.


Desired Qualifications:

  • Passion for Social Impact: A genuine interest in social enterprises and their mission to create positive change.

  • Event Management Experience: Experience planning and executing a variety of events, including conferences, workshops, fundraising galas, etc.
